Purchase Requisition: Adding Backup Documents to Xtender

Overview

This article provides instructions for adding and retrieving supporting documentation for Purchase Requisitions in Xtender through Banner. It covers the standard process for uploading documents directly from FPAREQN, where requisition information is automatically populated in Xtender.

It also provides an alternate process for adding or retrieving documents when the “An unexpected error occurred – The application name is invalid” error prevents Xtender from opening correctly through Banner. In these cases, documents can still be accessed through B-F-DOCS, but the required requisition information must be entered manually.

Steps

• Step 1: Open the Purchase Requisition

  • Open FPAREQN in Banner.
  • Enter the Requisition Number.
  • Important: Do not select Go. The requisition number only needs to be entered before accessing Xtender.
    
     
• Step 2: Select Add 
  • From the upper-right corner of Banner, select Add.
    
     
  • A new window will open and launch Xtender.
    
     
  • In Xtender, select Add Page from the upper-left corner of the page.
    
     
  • Note: When Xtender is launched directly from the requisition in Banner, the requisition information should automatically populate.
    

• Step 3: Upload the Supporting Documents

  • Select "Choose Files"
    
     

  • Select the supporting document you would like to attach. 

    
     
  • Supporting documentation may include:
    • Invoices
    • Quotes
    • Other documents related to the Purchase Requisition
  • Select Upload.
  • Select Save to complete the upload.
  • Close the Xtender window and return to Banner.

• Step 4: Verify the Document Uploaded

  • Select Retrieve to verify that the supporting documentation was successfully added to the requisition.

    
     
  • You will be able to see the document you uploaded.
    
     
  • If you follow these steps you should be able to submit documents successfuly. However, if you do run into an issue follow the next steps. 

Troubleshooting: "AppEnhancer Web Access"

When attempting to access Xtender from Banner, you may receive the following error:

• “An unexpected error occurred – The application name is invalid.”
  
   
• If this error occurs, supporting documentation can still be added or retrieved directly through B-F-DOCS in Xtender.

Resolution:

1. Select OK to close the error message.
   
    
2. Navigate to B-F-DOCS in Xtender.
   
    
3. Select the appropriate option:
   
    
4. New Query – Use this option to search for and retrieve existing documentation.
5. New Document – Use this option to add new supporting documentation.
6. Enter the required requisition/document information manually

7. Continue with the appropriate Add or Retrieve process.

Important: When using B-F-DOCS, the requisition information does not automatically populate. The required information must be entered manually before the document can be added or retrieved.
